Job Description

Responsible in providing overall support to the Head of Human Resource for admin & office related tasks which consist of plant security & maintenance, coordination with third party vendor and clients especially during visitation. In charge to coordinate and champion the employee engagement activities e.g., Festive celebrations, Annual Dinner, CSR activities, Mega E-commerce events and etc. The jobholder requires exposure to highly sensitive, confidential information and involvement with superior contacts requiring considerable use of skill such as acumen, discretion, tact, diplomacy, and judgment.

1. In charge of general & office administrative tasks and procedures

2. Monitor all contracts with external service providers such as landlord, utility providers, car rental companies, caterers, couriers and etc

3. In charge of security team to ensure the overall plant security by liaising closely with the service provider

4. In charge of authority regulations and close follow up with relevant body e.g. MPKS

5. In charge of pantry (food & beverages) are in stock at all times for staffs and visitors. Liaise with external party to purchase the pantry items by monthly within the budget

6. Ensure all the staffs have sufficient stationery for office use and to keep stocks available at all times

7. Coordinate office meetings and communication sessions as well as prepare presentations

8. Manage the office supplies procurement and replenishment to ensure smooth operation

9. Support and coordinate office facilities renovation or maintenance & equipment maintenance

10. Coordination for the visitor schedules and in charge of the meeting rooms update to ensure no conflict and visitors face excellent service on site

11. Ensure security & cleanliness of the premise are top notch at all times, prepare and coordinate with external cleaning party on the cleaning checklist

12. Assist on all the corporate events, such as career / company exhibitions, lunch / dinner outings, celebrations and etc

Requirements

1. Diploma/ Degree in Business Admin or related with relevant working experiences

2. 3 – 5 years’ experience in office administrations and employee engagement activities

3. Proficiency with MS Word, Excel and PowerPoint

4. Proficiency written and spoken in English and Bahasa Malaysia
